Define a coffee programme, not just an origin

Colombia identifies the country of origin; it does not define every cup, process or screen requirement. Tell us whether you seek a particular region, crop, processing method or repeatable blend component. Specify any producer or traceability information required for the programme without assuming one named farm supplies every offer.

The enquiry is for green, unroasted Arabica rather than roasted coffee or a consumer retail pack. Describe how you will receive, roast or distribute the product so the commercial discussion follows the actual buying task.

Connect physical quality with the cup brief

Useful physical fields include screen size, moisture, defects, crop or lot identity and any agreed tolerances. State the analysis methods and sample-evaluation procedure. The cup brief can identify the characteristics needed by your roasting or blending team without treating a general flavour description as a guaranteed score.

If you require specialty, organic or another documented designation, name the precise evidence needed for the proposed lot. A country reputation or illustrative photograph does not establish certification, a cup score or conformity with your acceptance standard.

Agree the sample and approval sequence

Ask for the available lot information and sample arrangement. Establish whether your buyer needs an offer sample, pre-shipment sample or both, and how those samples relate to the material proposed for loading. Record who will evaluate the sample and what constitutes approval.

Review physical assessment and cup assessment together with the commercial offer. Where a repeat programme is intended, explain how consistency will be assessed between lots. Approval of one sample should not silently become a promise that every future crop or parcel is identical.

Protect the coffee through packing and movement

Discuss the desired bag format, liner where required, net weight, lot marks and pallet or loading preferences. Bag and bulk-format choices need to fit the actual supply and receiving operation. Include any specific packing standard or label information required by your buyer.

Clean, dry cargo space and protection from moisture and foreign odours are important shipment-planning questions. Agree the loading review and lot-separation requirements with the responsible parties. Packaging alone is not a substitute for suitable storage, transport conditions and a clear cargo handover.

Choose the export handover deliberately

Send the destination country and port, quantity, shipment window and preferred trade terms. For FOB or CIF requests, identify the named port and the scope you want priced. Send a useful roasting or buying requirement

Include company and contact details, green Arabica requirements, preferred origin information, process, physical specification and cup brief. Add quantity, packing, destination and timing, with your sample-assessment procedure where known. Explain any details that can be discussed so the proposal is not narrowed by an unintended assumption.
