Colombia export buyers guide: from product brief to cargo handover
Colombia offers a varied agricultural export basket, but a product name is only the beginning of a purchase. Each needs a specification that connects origin and quality with packing, transport and the receiving operation.

Define the receiving requirement first
Identify the intended use, destination country and receiving point before requesting a quotation. Separate essential criteria from preferences, and state how acceptance will be measured. A laboratory analysis, an approved coffee sample and a fruit-condition inspection answer different questions. Agree the sampling method, inspection stage and lot reference that will connect the evidence to the cargo.
Where a customer programme requires certification, specify the scheme and the supplier or product scope. Review validity and coverage for the proposed supply. Include the required labelling, documents and named place for the requested Incoterm so commercial offers can be compared on the same basis.
Colombia's 2025 trade context
In its 6 February 2026 report, Colombia's Ministry of Agriculture cites US$15.317 billion and 6,880,435 tonnes for 2025, using DANE data. The report discusses agricultural and agro-industrial trade and labels this series food-and-beverage exports; it is not a raw-crop-only total. These national figures provide historical context, not CaribeSpring's shipments, stock or capacity.
Dry and processed products: compare the form and quality file
Arabica coffee
For green Arabica, identify the requested crop, region, process and lot size. Define screen, moisture and defect criteria together with the cup profile and evaluation method. Agree sample approval and how the shipment lot will be represented. A named origin or specialty score requires evidence specific to the offered coffee.
Discuss export sacks, an approved liner or another agreed format, with bag marks and net quantity. Review dry, clean, odour-controlled storage and container condition. Colombia has coffee-specific exporter and quality procedures: the Federación Nacional de Cafeteros maintains registration and export-quality guidance. Confirm the responsible exporter's applicable records rather than treating a product enquiry as proof of registration.
Cocoa beans
Tell the supplier which processing and sensory outcome you need. Specify origin, crop, fermentation, moisture, bean count and tolerances for mould, slaty beans or foreign matter. Agree the cut-test and sampling basis, plus residue and contaminant analyses required by the destination or customer. Match approved samples and test results to the proposed lot.
Compare suitable food-contact sacks, liner options, net weight and pallet layout. Packing and cargo preparation should address moisture protection, lot separation and odour exposure. Define the inspection scope and the receiving site's handling needs before accepting the packing proposal. An origin description supports identification; the lot's condition and analysis support acceptance.
Cane sugar
Start with raw or refined presentation and intended food or industrial use. Define polarisation, ICUMSA colour, moisture, grain size and the destination standard or buyer method where relevant. Agree how samples and analysis will be taken and which tolerances control acceptance. The word “sugar” alone leaves important differences between offers unresolved.
Specify lined sacks, FIBC or a nominated bulk arrangement only when it fits the material and receiver. Confirm net quantity, marks, loading and discharge equipment, and cleanliness of the cargo space. Moisture and contamination protection should be part of the packing and movement plan. Bulk and bagged offers should be compared with their complete handling and document responsibilities.
Palm oil
Name the requested crude or refined presentation and end use. Agree free-fatty-acid, moisture and impurities, colour and other relevant analysis criteria. Identify whether the receiver requires a particular food-use quality file or an industrial specification; the required evidence should follow the intended application.
Discuss compatible tank, flexitank or parcel options after the supplier and carrier review acceptance. Include prior-cargo or cleanliness evidence as applicable, seals, representative samples and unloading arrangements. Any heating or conditioning plan must be agreed for the specific grade, equipment and receiving process. Dry-cargo packing assumptions cannot be carried across to a liquid-oil movement.
Fresh products: agree condition through to receipt
Bananas
Define variety, class, calibre or finger-length criteria, maturity and defect tolerances. Include the customer's ripening or distribution programme, required arrival condition and destination residue requirements. Agree how the shipment lot will be identified and inspected, including the stage at which maturity and quality are assessed.
Discuss ventilated cartons, net weight, internal packing and pallet pattern. The packing and logistics parties should agree cooling, temperature records and the handover plan for the actual fruit and journey. Controlled atmosphere is a shipment option to evaluate and book where appropriate. A harvest or loading specification should be connected to the buyer's receiving programme.
Hass avocados
Specify count or calibre, maturity or dry-matter criteria, defects and intended arrival programme. A buyer preparing fruit for ripening needs a different brief from a buyer planning immediate distribution. Include orchard and packing-lot traceability, residue requirements, inspection method and the documents required by the importing market.
Review ventilated cartons, net quantity, pallet dimensions and carton markings. Agree product-condition checks, cooling, monitoring and responsibilities for each handover. Reefer or controlled-atmosphere settings should be selected by the relevant specialists for the maturity, route and destination protocol. The quotation should identify the proposed shipment window and the process for reporting condition on arrival.
Tahiti limes
Set the required calibre, colour, juice criteria and tolerances for rind defects or damage. Identify the sales channel, arrival requirement and destination residue programme. Agree the inspection basis and whether the criteria apply to individual fruit, packs or the whole lot.
Confirm carton ventilation, pack weight, labels and pallet configuration with the packer. Cooling, humidity, ventilation and transport conditions should be agreed for the actual fruit and journey. Review handling practices that protect the rind and packaging, together with lot identification and condition evidence at loading. A fixed shelf-life claim cannot substitute for a shipment-specific assessment and receiving plan.
Cut flowers
Name the flower type and variety, stem length, bud stage, bunch count and presentation. Define acceptable freshness, defects and the required delivery event or sales window. Packing instructions should address sleeves, bunch identification, carton layout and the receiver's unpacking process. Different flower types should be qualified separately within a mixed programme.
Evaluate air movement or a validated sea-reefer programme for the product, season and route. Agree cooling, monitoring, handling and contingency responsibilities with the specialists involved. Flower logistics should be built around the required arrival stage and complete journey, including consolidation and inland delivery. No general catalogue description establishes a universal temperature, transit time or vase-life guarantee.
Choose the cargo plan and gateway together
Coffee, cocoa and sugar require a dry-cargo review; palm oil needs compatible liquid-cargo equipment. Fresh fruit and flowers require their own temperature-managed plan. Identify who prepares the cargo, checks equipment, records condition and accepts each handover. Cargo compatibility must be assessed before consolidation, including odours, packing and cooling requirements.

Make documents part of the purchase brief
List the required invoice, packing list, transport document and origin evidence, together with analyses, sample approval and inspection records as applicable. Confirm who supplies each item, which lot it covers and when it must be available. Packing marks, quantities, product descriptions and parties should be consistent throughout the shipment file.
For plant products, consult the ICA's export guidance and the destination authority for the actual product and market. Any required producer, packhouse, phytosanitary or other approvals must be established before commitment.
